Additional Policies and Terms

Refund policy for CBAM Congress and Workshops:

A. Refund policy for domestic attendees or attendees who do not need a visa invitation letter:

  1. If the request for cancellation of the ticket and a refund is received before 60 days from the first day of the congress, the full payment is refundable.
  2. If the request for cancellation of the ticket and a refund is received between 30 to 60 days from the first day of the congress, 50% of the full payment is refundable and the other 50% can be used as a credit to purchase other products or services of CBAM and the attendance of the student in the Congress is cancelled.
  3. If the request for a refund is received less than 30 days from the first day of the congress, the payment is non-refundable. This payment can be used as a credit to purchase other products or services of CBAM and the attendance of the student in the Congress is cancelled.

B. Refund policy for international attendees who potentially need a visa invitation letter:

International attendees who require a visa to enter Canada and attend the event, as soon as they pay the event fee and receive a receipt of payment, their payment for the ticket is non-refundable. In case they require an invitation letter for immigration or visa application purposes, CBAM can provide an additional letter to support their visa application documents. The fee for this letter is CAD 250 plus tax (non-refundable) for the Conference ticket. Please be advised that for individuals registered for the Expo Access Ticket, an invitation letter for a Canadian visa will not be issued under any circumstances. For international students, if the applicant proves that their visa was rejected, or if the visa approval arrives after the date of the event, 50% of their payment for the ticket will be credited to the attendee’s CBAM account. This credit can be used for any future CBAM events or courses. In case of a visa rejection, CBAM will provide a second visa invitation letter free of charge only to those individuals who intend to participate in the subsequent CBAM Congress, to support the attendee’s application.

Force Majeure for Events: In the event that CBAM is unable to provide all or a significant portion of the Events to the students, attendees or participants of any kind by reasons of fire or other casualty, restrictive government laws or regulations, riots, insurrections, war, labour disruption, cyber attack or theft, defect in the building of the event or course, national emergency, lockouts, explosions, and any other general cases of “force majeure” or other reason of a like nature not the fault of CBAM, the CBAM shall advise the students or participants by notice in writing that the event is unable to be held by CBAM. In such an event CBAM is not responsible for any loss or damage to the students or attendees or participants due to the cancellation or postponing of the course or event. In this case, CBAM will select to either cancel the event or postpone them to a new date. This decision will be delivered to the students or attendees by email:
1. In case of postponing the event from an original date to a new date to any available location due to one of the above reasons which is not within the control of CBAM, the refund policy is based on the original date of the course or event (not the new date).
2. In case of cancellation of the event due to one of the above reasons, the student or participant is eligible to request for the full refund or request to transfer the credit equal to the same amount to another course or event of CBAM in a future date.

In the event that CBAM is unable to provide all or a significant portion of the Courses or packages to the students, attendees or participants of any kind by reasons of fire or other casualty, restrictive government laws or regulations, riots, insurrections, war, labor disruption, cyber attack or theft, defect in the building of the event or course, national emergency, lockouts, explosions, and any other general cases of “force majeure” or other reason of a like nature not the fault of CBAM, or in the cases, some of the participants might have limitations to attend the course or event due to one of the above reasons, the CBAM is not responsible for any loss or damage to the students or attendees or participants due to the cancellation or postponing of the course or event. In this case, CBAM will select to either cancel the event/course or postpone them to a new date. Force majeure conditions which are caused by governmental regulations are understood to be announced to all the attendees through public media and CBAM is not responsible to inform the attendees individually in order to make these policies enforceable.

Refund policy for courses or packages during Force majeure:
In case of cancellation of the course or event due to one of the above reasons, the following refund policy applies depends on the registered course or package and also the amount of delivered service at the time when the restrictions of force majeure start:

  1. If the student has already started any practical portion of the course or package, the course or package fee is not refundable. The registrant is able to come back at anytime in the future to complete the remaining of the course or package as soon as the restriction is removed. The access to the online materials of the course or package will remain open during the restriction time and will be extended until the last day of the package (after added extended time). For single courses, the access to the online materials will remain until 3 months from the date of delivering course after the restriction is removed.
  2. If the student has received the access to the online materials of the course or package but has not started the practical portions, they will have one of the following choices:
    Option A: The student may decide to withdraw from the course or package and receive the partial refund. In this case, the student only pays for the online materials of the course or package. (List of prices for online portions is provided in the original policy). If the student has paid a deposit or the full amount for the course or package, the payment will be refunded to the student minus the above amount for the online portion of course or package. The access to the online materials, in this case, will remain either for 6 months from the date of withdrawal request from the student or 9 months from the date of the original purchase, whichever is later. After the student withdraws from the course or package and receives the partial refund, if in the future decides to resume the course or package again, the non-refunded amount will be used as a credit for the new purchase, however, the price of the course or package will be calculated based on the current price in case if the price has increased.
    Option B: The student decides to continue the registration in the course or package until the restriction is removed. In this case, for the single courses, the practical portion of the course will be delivered on a later date when the restriction is removed and the access to the online materials of the course will remain until 3 months from the new date of the practical course. For the packages, the access to the practical portions of the courses will pause until the restriction is removed and the package period resumes. The access to the online materials of the package will remain during the pause period.

Refund for membership fees: All membership fee payments are final and non-refundable.

Refund for Courses or Packages:
If you register and pay the full amount or the first payment of any installments (deposit) for packages or courses, you agree that all the terms and conditions and the refund policy applies to you.

  1. All fully online courses and packages (without practical component) are considered final and the payment is not refundable, even if the student decides not to log in and/or view the materials after the purchase.
  2. Refund policy for courses/packages without any online materials (purely in-person): If refund requests are made up to 30 days prior to the course start date, eligible for full refund less $250 admin fee; between 30 days and one week prior – 50% refundable; less than one week – non-refundable.
  3. Refund policy for single courses which have online materials as well as practical components: the price for online portion is final. For practical component, the same timeline as above applies.
  4. Refund policy for course packages: CBAM will deduct all completed portions based on individual course price list. As soon as student is registered for package, online materials are non-refundable. For practical portion, as soon as the student arrives for the course start time it is considered completed and not refundable. Withdrawal request must be within 6 months of first payment.

Full price list for individual courses/online materials (e.g. Basic injectables course online+practical $3999, online materials only $1299, PRP certificate $1350, etc.) as detailed in the original policy. Refunds are processed via the same route of payment; a 2.5% deduction may apply for credit card refunds.

Refund policy for CBAM Congress and Workshops (domestic/international) as detailed in Event Policy section.

Refund policy for OSCE exams: Cancellation up to 7 business days from exam date allowed; within 7 days or no‑show full forfeiture.

  • We only qualify the installments if the applicant signs an agreement with credit card information which gives CBAM authority to withdraw the installment amount on agreed dates.
  • If a student opts to pay in installments, there could be a restriction on the number of practical sessions until full payment is made.
  • All registrants who choose to pay through subscription or installments are required to provide a valid credit card. If a payment fails, a $50 processing fee will be applied for each subsequent attempt.
  • If any installment payment is unsuccessful, CBAM reserves the right to immediately suspend the registrant’s access to all online materials and in-class courses until the outstanding payment is resolved.
  • The validity of CBAM credits extends for Two years starting from the date of issuance.
  • The maximum utilization of credits for any course, event, or product is capped at 50% of its price.
  • Students cannot use their wallet credit as cashback; they can only use it to purchase any of CBAM courses and packages.
  • Wallet credit cannot be used for deposit payments (for programs that require a deposit); it can be used from the second installment onwards.
  • Credit from program purchases cannot be used for paying the installments of the same program.
  • The credit cannot be applied along with another promotion or discount coupon.
  • The credit can be used towards the online courses and also the practical programs offered in CBAM US and Canada centres (not in international centers).

Policies For Winning the Prizes: If any of the members or students win a prize in an event or online contest, there is a deadline of 1 year to claim the winning prize. The winning prize or discount cannot apply to any purchases made prior to the date of win.

Policies For Promotions: In general, the promotions cannot apply to purchases completed before the date of the promotion. CBAM may consider providing credit for previous purchases to match promotional price, but such credit is non‑transferable and expires 6 months after issue. Discount coupons are not valid during promotional prices.

Insurance Responsibility

Upon completion of our certification program, practitioners are solely responsible for securing and maintaining their own professional liability insurance. We do not facilitate the procurement of insurance, nor do we guarantee the insurability of any practitioner upon completion of our certification program.

No Refunds on Grounds of Insurability

Practitioners acknowledge and agree that the inability to secure professional liability insurance does not entitle them to a refund of any fees paid for the certification program. We strongly encourage practitioners to research and confirm their eligibility for insurance before enrolling in our program.

Liability

Under no circumstances shall CBAM be liable for any direct, indirect, incidental, special, punitive, or consequential damages arising out of the inability of a practitioner to secure professional liability insurance.

  • The practical part of Basic injectables course, PRP & microneedling, Sclerotherapy and Laser are offered only once during the length of the package. Repeats may be allowed based on availability.
  • The practical portions of Sclerotherapy and Laser courses are elective and only offered in head office, Toronto centre.
  • The practical portion of Advanced injectables course (Practice Days) are offered unlimited during the length of the package in all cities of Canada, on a first come first serve basis.
  • In CBAM Ottawa, Calgary and Halifax where frequency of Practice Days is less, we guarantee 6 Practice Day sessions for each packaged student even beyond the 6 months package period.
  • Students living in remote areas may qualify for a one-time $500 voucher towards transportation/accommodation (requires address verification).
  • For all 6-month package programs, registrants who pay the deposit have a maximum of 1 year to select and attend their first in-class course and officially begin their package. Otherwise deposit will be invalidated.
  • We offer a 5% referral fee on the total price of the first product/service that the referred person pays for.
  • The referral fee does not apply to past courses. We need to receive your referral before they pay any deposits.
  • If the introduced individual has had any course(s) with CBAM in the past, the referral fee does not apply.
  • If two people refer a student, the referral fee is only paid to the first person who made the introduction.
  • There is no deadline for the referral program.

Individuals enrolled in a course or event can request funding or reimbursement from external entities or financial institutions. CBAM will provide necessary documentation. CBAM holds no responsibility for the policies of these third-party organizations.

Some procedures in aesthetic medicine are not regulated (e.g., Microneedling, Laser, Chemical‑Peel as long as penetration does not go beyond dermis). Non‑healthcare professionals are able to learn, but CBAM does not guarantee that the graduate can work with the certificate. Practitioners are solely responsible for securing their own liability insurance. No refunds on grounds of insurability.

Courses covering controlled acts are intended for healthcare professionals authorized within their licensed region. We cannot guarantee ability to practice solely with our certificates. If you are not a healthcare professional, we may revoke access and may not issue a certificate. To practice on patients during hands‑on courses, attendees must hold an active license in the province where the practical course is delivered. Others may attend theory and observe.

Cancellation Policy for Hands-On Courses
– Cancellations/Reschedules made between 10 and 3 days prior to course date incur a $500 fee.
– Cancellations/Reschedules made less than 3 days prior incur a $1,000 fee.
No penalties if cancelled more than 10 days before. Medical cancellations require official note. The penalty amount is collected when you rebook for the following session.

International applicants who wish to attend courses physically in Canada can apply for visa; CBAM provides a letter of support only after full payment (not just deposit). If visa is accepted, payment is non‑refundable. If visa is rejected, after verification CBAM refunds full payment minus fee for online materials (which remains as credit). Access to online materials expires 3 months after rejection letter.

Fair Information Practices: In case of a data breach, we will notify you via email within 7 business days. Individuals have the right to pursue enforceable rights against data collectors.

Do Not Track signals: We honor Do Not Track signals and do not plant cookies or use advertising when a DNT browser mechanism is in place.

COPPA: We do not specifically market to children under 13.

California Online Privacy Protection Act (CalOPPA): Users can visit our site anonymously. Privacy Policy link includes the word ‘Privacy’. You will be notified of any policy changes on our Privacy Policy Page. You can change your personal information by logging in to your account.

Additional Policies and Terms

If you have any complaints about CBAM staff, instructors, or other students, we would recommend you to follow the complaint procedures below:

You must send us a written report that includes the date of incident, location, details, and individuals who are involved.

We would investigate the situation and inform you the outcome of the investigation within 7 business days. Please note that during the investigation, we might contact you or the other party(parties) to understand more about the situation.

If needed, we would schedule a meeting with the presence of you, CBAM authorities and the other parties who are involved (CBAM lawyer will be present if required). After completion of the meeting, we will release the outcome meeting and investigation and position of CBAM regarding the situation within 72 hours. You will be informed of this via email, or mail.

If you are not satisfied with the outcome from the investigation and the meeting, we can arrange a secondary meeting with an independent mediator. The mediator will be selected from the list of regulated mediator roster. You have the choice to select licensed mediator if you do not wish to have the CBAM’s choice of mediator. The charge of the mediator might apply which you will pay them directly.
